How do I create a new task?

This article will explain how to create a new task in 123-mail webmail.

Login to the 123-mail webmail.

Click on the Tasks icon in the main toolbar.

In the right hand pane, click on the New Tasks icon under the edit tab.

Fill in your Task Details and select the Save icon to complete.

How do I edit an existing contact?

How do I delete a task?

This article will explain how to delete a task in 123-mail webmail.

How do I mark a task as done?

This article will explain how to mark a task as done in 123-mail webmail. This functionality is used to mark your tasks as complete. In this case, they will remain in your task list, however they are struck out and their finished percentage is set at 100%. To remove them completely from the list you can then delete the task entirely.

Click on the Task you wish to mark as done.

Click on the Mark as Done button under the edit tab. You can also right click on the task from the list and select Mark as Done from the menu that appears. 


You can also use your shift or control buttons on your keyboard to select multiple tasks to mark complete in bulk.

How do I print a task?

This article will explain how to print a task in 123-mail webmail. This allows you to retain a hard copy of your task, complete with all of the details you have added, including start and end date, priority and duration. This is a great way to distribute the task to colleagues or teams when email may be unavailable.

Click on the Print icon under the edit tab.

You will then see a Print Preview of your task. You will see all of the information surrounding your task, such as priority, start and end date, description and any further details. Your printing software will give you the option to print multiple copies, or designate portrait or landscape orientation and various other options.

How do I use a create a task as a template?

This section will explain how use a task as a template in 123-mail webmail. This function allows you to to use existing tasks to create a new one. This differs from the normal method of creating tasks as it will carry over the details of the previous task, which you can then edit to suit your needs. This is a great tool for use with tasks that you will carry out on a regular basis, for example, filling out a regular report, or doing monthly budget work.

You will now be able to adjust the details already associated with the task to suit your new needs.

How do I change the view on the tasks page?

This section will explain how to change the view of tasks in 123-mail webmail. This is a level of customisation that will enable you to design your work flow to work for you, and increase your productivity.

Click on the Tasks icon in the main toolbar.

Click on either a H-Split view or a List view.

The different views have slightly different purposes:


List View

The list view is used to display a list of the different tasks you have available. You can use the headers in the row at the top of the lists to order your tasks by the various options; for example, by subject, due date and percentage completed. This is a great way to get a general overview of the tasks at hand. 


H Split

This view is similar to the list view, and also lets you reorder your tasks by the different values, however, it also opens a preview panel within the same window, which gives further information on the task, including being able to view any documents you've attached to the task.

How do I flag a task?

This article will explain how to flag a task in 123-mail webmail. The flags allow you to categorise your tasks by colour, allowing you to assign your own values to them. It also allows you to arbitrarily group your tasks by a value you decide upon, rather than the preexisting values, such as due date and priority.

Click on the task you wish to Flag.

Click on the relevant colour Flag you wish to assign. You can't assign multiple flags to the same task, however, you can use your shift or control button on your keyboard to select multiple tasks and assign them a flag in bulk.

You can click the area of the header row above the flag identifiers to reorder your list by flag colour, rather than by the other headers at the top of the window.

How do I create a team task?

This section will explain how you can create a team task in 123-mail

Creating a team task will allow you to have a task or process that members of your team can all collaborate on and contribute to

Log in to your 123-mail account. Enter your username and password into the boxes provided, then click the Login button.

From the toolbar at the top of the page, click the Tasks button.

Click the New task button at the top of the page.

Insert the task information; including subject, due date and priority.

Click on the Add participant button.

You can Search for participants using the bar at the top of the window. Click on the users you wish to add to the task, then click the Add button. Then click OK.

Finally, click the Save button.

The participants you have added to your task will receive a notification stating that they have been added to the task, and will be able to see all of the details you have sent them.

How do I add an external contact to a team task in 123-mail?

This section will explain how you can add external participants to a task in 123-mail.

Log in to your 123-mail account. Enter your username and password into the boxes provided, then click the Login button.

From the toolbar at the top of the page, click the Tasks button.

Click the New task button at the top of the page.

Insert the task information; including subject, due date and priority.

Click on the Add participant button.

Enter the Name and E-Mail address of the person you wish to add. Then click the Add button. When you have added all the participants you require, click OK.

Finally, click the Save button.

The participants you have added to your task will receive a notification stating that they have been added to the task, and will be able to see all of the details you have sent them.
