Managing your contacts

This article will show you how to manage your contacts in Webmail.

Simply click on a title below to skip to the most appropriate FAQ. You can also click the Top button to return and make another selection.

How do I create a new contact?

From your Webmail, select the Apps icon in the top-left corner (Generation 2 mailboxes only) or the Menu icon in the top-right corner (Generation 1 mailboxes only) and then choose Address Book from the provided options.

This will take you to the Address Book page. From here, click New contact from the toolbar. If you have a Generation 1 mailbox, you’ll need to select New contact from the provided drop-down menu.

A pop-up window will now appear where you can enter details about your contact, including Name, Date of Birth, Email Address, Contact Number and more.

Once you’ve completed the provided fields, click Save.

How do I edit an existing contact?

From your Webmail, select the Apps icon in the top-left corner (Generation 2 mailboxes only) or the Menu icon in the top-right corner (Generation 1 mailboxes only) and then choose Address Book from the provided options.

This will take you to the Address Book page. From here, select the contact you wish to update and click Edit from the toolbar.

A pop-up window will now appear where you can amend your contact’s details. Once you’ve done this, click Save.

How do I delete a contact?

From your Webmail, select the Apps icon in the top-left corner (Generation 2 mailboxes only) or the Menu icon in the top-right corner (Generation 1 mailboxes only) and then choose Address Book from the provided options.

This will take you to the Address Book page. From here, select the contact you wish to remove and click Delete from the toolbar.

A pop-up window will now appear, asking you to confirm your decision. Simply click Delete to complete the process.

How do I create a new distribution list?

From your Webmail, select the Apps icon in the top-left corner (Generation 2 mailboxes only) or the Menu icon in the top-right corner (Generation 1 mailboxes only) and then choose Address Book from the provided options.

This will take you to the Address Book page. From here, click New contact from the toolbar and select New distribution list from the provided drop-down menu.

A pop-up window will now appear where you can create a new distribution list.

Once you’ve given your distribution list a name, start adding your contacts by typing their name into the provided field. This will cause a list of names to appear – simply click their name to add them to your list.

Once done, click Create List to set up your distribution list.

Your distribution list will now appear in your address book.

How do I move a contact?

This section will explain how to move a contact in 123-mail webmail.

You must have already pre-created additional contact folders created to move contacts into. This functionality allows you to move contacts into specific folders, allowing you to keep your contacts organised, allowing you to find the ones you need, when you need to. For example, you can split your contacts into work groups and personal groups, or you could have a folder for your frequently used contacts.

To move a contact into a folder, simply drag and drop the contact into your desired location.

How do I export my contacts?

If you’re thinking of moving to a different email account, you may wish to transfer your contacts over so that your new account is fully synched.

To start with, you’ll need to export your contacts so that you have a copy of them ready to go. This can be done by following the instructions outlined below:

From your Webmail, select the Apps icon in the top-left corner (Generation 2 mailboxes only) or the Menu icon in the top-right corner (Generation 1 mailboxes only) and then choose Address Book from the provided options.

This will take you to the Address Book page. From here, select the 3-bar icon next to Contacts and choose Export from the list of options.

Choose the type of folder to download – either CSV or vCard. We recommend using CSV.

Once you’ve decided on your preferred format, select Export.

Your contacts will now be exported and saved to your computer.

How do I copy contacts to a contact folder?

Copying your contacts to a new folder is similar to moving your contacts to a new folder, but the key difference is that it duplicates the contact, meaning that the original contact stays in the original folder, and the duplicate moves to the new, specified folder.

This is useful for if you have your contacts split between work and personal, for example, but also want to create a frequently used folder. This will enable you to keep your work and personal split, and combine the contacts you frequently use.

From here, select the contact you wish to copy and click the Menu icon in the toolbar (represented by the 3-bar icon). Next, choose Copy from the provided drop-down menu.

You will now be able to select from your available folders, so select the folder you wish to use, and then click Copy.

How do I change the view on the contacts page?

You can customise your contacts page to suit your needs, allowing you to pick the option that works best for you.

From the Address Book page click on the View tab on the right hand side of the page. This will open a dropdown menu. From this menu, you can enable the folder view (highlighted in Red) and the Checkbox view (highlighted in Blue).
