How do I modify my mailbox quota?

This article will show you how to create more space in your 123 Reg mailbox.

What is a mailbox quota?

Your quota refers to the amount of space available within your mailbox. Every time you receive an email, this will use up some of your available quota, especially if it has any attachments like images, documents and videos.

Being ‘over quota’ means that you have exceeded the size limits of your mailbox. Since each mailbox has a specified amount of space on the server, you won’t be able to receive any more email, or add any further information to your mailbox, until you have enough available space to do so.

You can check your current quota by checking the left-hand column within your Webmail client, where you’ll see your email quota along with a bar chart showing how much you’ve used.

To free up space in your mailbox, you can perform any of the following actions:

Empty your Trash folder

Deleting an email from your inbox doesn’t mean it’s gone forever. It just means that it’s been moved to the Trash folder.

You can empty your Trash folder to remove the email from your server completely, which will create more space within your mailbox. To do so, select your Trash folder and then click the Menu icon that appears alongside it (represented by the 3 bars). From there, select Empty trash from the drop-down menu that appears.

If you want, you can also set your Webmail to permanently delete anything you send to the Trash folder. To do so, select Settings in the top-right corner (represented by the gear icon). If you have a Generation 2 mailbox, select All Settings… from the drop-down menu that appears.

From there, select Email from the left-hand menu and tick the Permanently remove deleted email messages option.

Back up your emails

Another way of making space in your mailbox is to create a backup of your old emails, allowing you to move them to a local drive and delete them from the server without losing them.

Simply select all the emails that you’d like to save, and then click the More actions icon in the toolbar (represented by the 3 dots). From there, choose Save as file from the drop-down menu that appears to save your messages to the default download folder for your browser.

If you are saving a single email, this will appear as a single file within your downloads folder. If, however, you are saving multiple emails, these will be downloaded as a ZIP folder with the title mail.zip.

Once you have saved your emails, you can delete them from your account.

Clear your sent messages

As with your deleted messages, your sent messages can use up valuable space within your mailbox.

To delete any sent messages, select your Sent folder and then click any messages you wish to remove. From there, click the Delete icon within the toolbar (represented by the dustbin).

Once you’ve done this, make sure you empty your Trash as well by following the steps outlined above.
